GENERAL

​Who we are

We are one of the Porsche Club of America regions knows as Rennsport Region and which covers Quebec and Southeastern Ontario (includes Ottawa & area east of line between North Bay, and Gananoque). Registration on our website is reserved to PCA members but also contains sections available to the general public. Our website address is: https://dev.rennsport.ca

​What personal data we collect and why we collect it

We collect various personal information required to validate your membership and maintain your registration and profile on our website. Data is also collected while using the different functionalities offered on our website. Functionalities are managed by various add-ons or plugins to our site and are described in more detail below in the PLUGINS section.

​Comments

When you leave comments on the site we collect the data shown in the comments form, and also your IP address and browser user agent string, referrer, and/or site URL (along with other information directly provided by you such as your name, username, email address, and the comment itself) to help with spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture may be visible to the public in the context of your comment.

​Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

​Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

​Who we share your data with

We do not sell, trade, or otherwise transfer to outside parties any of your data unless we provide you with advance notice. This does not include website hosting partners and other parties who assist us in operating our website or serving you, so long as those parties agree to keep this information confidential. We may also release information when it’s release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property or safety.

​How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Some of the data managed by various plugins may have different retention periods. Refer to the PLUGINS section below.

​What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes, nor any data that may be required to be retained by individual plugins. See PLUGINS section.

Our website and your data is hosted or stored on servers located in the United States of America.

Comments may be checked through an automated spam detection service and other data may be sent to various service providers as specified in the PLUGINS section below.

​How we protect your data

Our site uses a certificate to secure your connection to our server and to protect your data transmission. All information you supply is encrypted via Secure Socket Layer (SSL) technology.

We do not use vulnerability scanning or scanning to PCI standards.

We do not use Malware Scanning.

Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential.

Some personal information managed by plugins or add-ons may be shared as described in the PLUGINS section below. Since this site is intended for a club, please pay special attention to “Member Directory and Social Networking” subsection.

All payment transactions are processed through a gateway provider and are not stored or processed on our servers.

PLUGINS SECTION

​MEMBER DIRECTORY AND SOCIAL NETWORKING

What personal data we collect and why we collect it

During the registration process, we collect user names, email, first and last names, PCA member number, car make, model and year as well as which part of Rennsport region you are from.

We collect this to maintain your registration and profile on our site and for use in our Member Directory and for any Social Networking functionalities (ex: messaging between members).

Member profile information that is visible to other registered members includes first and last name, car model and year as well as which part of Rennsport region you are from. Members can opt out of the directory, maintain their data or delete their account altogether by going to their member account page and clicking on the appropriate option.  Deletion of accounts will not delete all data. See “How long we retain your data” in the GENERAL section above as well as below .

Any posts, and comments made using the social networking functionalities may also be visible to other registered members.

​How long we retain your data

Registered user information is retained in our database indefinitely.

Data can be exported or removed upon users request.

Some data synced to 3rd party service (e.g Newsletter), is retained until unsubscribed or deleted from that 3rd party service.

​Where we send your data

Basic functionalities does not sent any data outside of our site, however some information is shared by default with other members (see “What personal data we collect and why we collect it” for this plugin).

Extended functionalities of this or other plugins or services (e.g Newsletter or Email) may pass data to these extended services. These services may be located abroad and outwith the EU.

CONTACT FORM

When you fill out a form and submit it, some personal data including your IP address is sent to our spam filtering service provider.

​STATISTICS

Statify provides a straightforward and compact access to the number of site views. It is privacy-friendly as it uses neither cookies nor a third party.

In direct comparison to other statistics services Statify doesn’t process and store personal data as e.g. IP addresses – Statify counts site views, not visitors.

A local database table consists of only four fields (ID, date, source, target) and can be viewed at any time, cleaned up and cleared by the administrator.

Due to this tracking approach, Statify is 100% compliant with GDPR and serves as a lightweight alternative to other tracking services.

Statify stores the data only for a limited period (default: two weeks), longer intervals may have been implemented as an option. Data which is older than the selected period is deleted daily.

​CLASSIFIED ADS

We collect and store your account info as well as the following form fields; contact person, email, phone number (optional) and information and pictures for the item you are placing an ad for. Other than your username, this information is visible publicly and requires a visitor to click on a button to display contact information.

The data pertaining to an ad is stored indefinitely in our database or until you request to have it deleted.

​CALENDAR AND TICKETS

The calendar plugin does not collect personal data unless you purchase free or paid tickets.

When purchasing tickets, we will collect your name, email and other particulars required for your registration for events and purchase of tickets.

Your event registration details are retained indefinitely in our database or until such time as we delete the event entirely.

Information is passed on to Time.ly for the issuing of electronic tickets for our site. You can find their privacy policy at https://time.ly/tos/privacy-policy

When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information. Please see the PayPal Privacy Policy for more details.

All data for registration, ticket purchases and/or payments made through ClubRegistration.net is handled exclusively by them. You can find their privacy policy at https://clubregistration.net/privacy/

​MULTILINGUAL SUPPORT

We uses cookies to identify the visitor’s current language, the last visited language and the language of users who have logged in.

The plugin shares data regarding the site through Installer. No data from the user itself is shared.

​NEWSLETTER & EMAILS

You are automatically subscribed to our newsletter when you register as a member on our website. If you have manually subscribed to one of our newsletters or if you are a member of our website (you can log in) or if you have purchased on our website, there is a good chance you will receive emails from us.

We will only send you emails for which you have automatically or manually signed up to receive, or which pertain to the services we provided to you.

To send you emails, we use the name and email address you provide us. Our site also logs the IP address you used when you signed up for the service to prevent abuse of the system.

This website can send emails through the MailPoet sending service. This service allows us to track opens and clicks on our emails. We use this information to improve the content of our newsletters.

No identifiable information is otherwise tracked outside this website except for the email address.

MailPoet creates and stores two cookies since our site uses WooCommerce and MailPoet together. Those cookies are:

Cookie name: mailpoet_revenue_tracking
Cookie expiry: 14 days.
Cookie description: The purpose of this cookie is to track which newsletter sent from your website has acquired a click-through and a subsequent purchase in your WooCommerce store.

Cookie name: mailpoet_abandoned_cart_tracking
Cookie expiry: 3,650 days.
Cookie description: The purpose of this cookie is to track a user that has abandoned their cart in your WooCommerce store to then be able to send them an abandoned cart newsletter from MailPoet.

ONLINE SHOP

We collect information about you while you shop or during the checkout process on our store.

​What we collect and store

While you visit our shop, we’ll track:

    • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
    • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
    • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

    • Send you information about your account and order
    • Respond to your requests, including refunds and complaints
    • Process payments and prevent fraud
    • Set up your account for our store
    • Comply with any legal obligations we have, such as calculating taxes
    • Improve our store offerings
    • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 10 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses. ​Who on our team has access

Some members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and

  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you.

​What we share with others

We share information with third parties who help us provide our orders and store services to you; for example analytics, marketing, payment gateways, shipping providers, and third party embeds.

​Payments

We accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information.

WPML Media Translation, Translation Management, String Translation plugins will send the email address and name of each manager and assigned translator as well as the content itself to Advanced Translation Editor and to the translation services which are used.
